Dynamics 365 Business Central for food and beverage
As a rule, a strong foundation for food and beverage companies - inventory management, including lot and serial tracking, FEFO-based picking, Production BOMs, warehousing, purchasing, costing, finance, and end-to-end traceability – is backed into Business Central out of the box.
When the industry lacks specific functionality that the core BC cannot cover, like recipe balancing, catch weight, allergen control, advanced quality control, and deeper compliance, custom development and ISV tools help extend the platform. We always emphasize that distinction upfront.
At Global Mediator, we first set up standard BC functionality for your operations and add more on top only when your project needs it. Work usually starts with moving the data – recipe, costing, batch info – onto the platform.
Key features and functionalities: Microsoft Dynamics 365 Business Central for the food and beverage industry
BC’s native side gives a reliable working backbone and a clear overview of daily operations, while you may need to extend the industry edge.
Batch and lot tracking (native BC functionality)
In BC, a particular lot number is assigned to every batch of raw materials and finished goods. Traceability becomes much better as it runs end-to-end across the entire chain. That's more than a reporting convenience. Instead of a several-day hunt for data to make a recall, BC functionality turns the quest into a query that takes a few clicks to manage.
Managing recalls swiftly
It takes seconds for the system to track the full lineage after it gets a safety alert or a supplier notification. Each detail is tracked, starting from one raw ingredient to the exact finished batches and even the customers who got them. There’s no need to pull a separate report for auditors. The trace is already one. In case of a recall, you can still ship unaffected stock instead of shutting the warehouse down.
Mitigating spoilage
The FEFO principle, or “First Expired, First Out”, sits at the core of inventory logic. While picking, Business Central routinely recommends items based on their closest expiry dates (FEFO order). This is basically the finance side of the same warehouse operation: less product is written off at the end of the month.
Recipe and formula management (native features + add-ons)
These are the features in the food and beverage industry where the native VS. extension line is most visible. Standard features of Microsoft Dynamics 365 Business Central are mostly designed for discrete manufacturing, but they do give decent functionality for recipe components. Standard BC makes a good starting point for custom development before reaching out for industry extensions.
What native capabilities can give
Business Central supports two models: assembly and production BOMs. Assembly BOMs deal with simple kitting like meal kits or gift baskets built straight from an order, without routings or work centers. Production BOMs deal with more complex manufacturing routes like mixing, baking, or cooling. Regardless of a BOM type, the system scales ingredient quantities in proportion to the batch size a business plans to produce.
One thing to keep in mind: BC multiplies all ingredients by the same factor. It can't balance a recipe by percentage or adjust for liquid density. For this, you need industry extensions.
Using add-ons for more
As a rule, production in food and beverage implies mixing, cooking, blending, and more, rather than assembling fixed parts. And the BC standard core wasn't built exactly for the full complexity of production activities. To fill this gap, businesses use specialized ISV add-ons from AppSource. They help balance percentage-based formulas, convert between weight and volume using ingredient density, adjust recipes by actual yield, segregate allergens across warehouse zones and more. These ISVs help turn a good ERP into a powerful process-manufacturing solution.
Quality control and compliance (native Microsoft extension or add-ons)
In food and beverage, quality and compliance use a hybrid architecture. Some features are covered by native Business Central, some by extensions. The split depends on the depth of your requirements.
Native Microsoft extension
The Quality Management extension by Microsoft is now preinstalled on new environments. It allows businesses to set test templates and trigger inspections at critical milestones like receiving purchase orders, intermediate production phases, and finished goods output. It holds non-compliant lots in quarantine, logs defects (usable for vendor return claims), and generates standard Certificates of Analysis tied to lot numbers.
Specialized industry add-ons
To meet deeper regulatory needs (EU traceability rules and FDA FSMA 204 for the US, HACCP control points, or lab-grade testing workflows), specialized industry extensions automate the compliance documentation and audit readiness. Consider this: integrating an add-on means adding an extra moving part to BC. That’s why we test every extension we deploy before it lands in production. Done properly, extensions make compliance easier to prove across the chain, not harder to maintain.

Integration with other Microsoft solutions
While "seamless" often sounds like hype, and warrants a pinch of skepticism, the bulk of integration challenges are virtually eliminated when it comes to Microsoft's cloud platform. Since Business Central is one ecosystem, it connects with the tools most teams already use.
Teams and Outlook. Share live production updates, approve purchase orders, answer vendor queries easily and swiftly, without leaving chat or email.
Excel. Export, bulk-edit, and publish live data (price lists, inventory journals) back into the ERP.
Power BI. Turn data into dashboards for real-time yields, spoilage rates, and supplier performance. You don’t need expensive third-party connectors.
Benefits of implementing Dynamics 365 Business Central for food and beverage
Finance and operations in one place
With Business Central, food and beverage businesses have a better overview in a single connected platform for sales, purchasing, warehousing, inventory, and finance. This enhances margin visibility by channel, product, or customer.
Smart warehousing based on temperature control
Use the system to map dry, chilled, and frozen zones to bin level. Use rules to route put-aways to the right climate (an extension is needed to block incorrect placements), and optimized pick routes to make sensitive goods spend less time at room temperature.
Flexible pricing
Manage tiered pricing across channels (retail chains VS. local shops) and automate seasonal rates without manual edits.
Flexible purchasing
In BC, businesses can buy the same ingredient from several suppliers and have vendors ship directly to customers when it makes sense.
Strategic sourcing
Use blanket purchase orders to lock in seasonal pricing while calling off smaller deliveries. (Catch-weight billing for meat and cheese isn't native. It comes from an add-on, and we'll say so before you buy.)
Scalable and updated cloud ERP
Using a cloud version of Business Central means having an updated, secured, and scalable ERP system without maintaining on-premises infrastructure.
